All the responses are stored neatly in your QRCodeChimp dashboard, ready for you to review and take action. Learning how to manage those responses will help you improve faster and build stronger customer relationships, without any tech headaches.

How to access the Form Responses section on QRCodeChimp’s Dashboard

Understanding the Form Responses Dashboard

Here’s a quick overview of what you’ll find on the Form Responses page:

This section serves as a centralized table for managing all QR code forms, including feedback QR codes. Each column represents a unique element that provides essential information about the form type, responses received, quick action tools, and more. It’s essentially a “control panel” for user-generated forms.

In the layout, first, you’ll see two filters, ‘Form’ and ‘Type’. You can select ‘All’ to display all forms. Alternatively, you can filter and choose a form name or QR code solution type for a particular form.

The ‘Date’ section on the leftmost column displays two types of dates and times: the last activity in a form and the creation of each form. Forms are listed chronologically based on their latest activities, which helps users quickly identify recently submitted forms.

Each entry includes the form name, QR code name, and link. The link is clickable. Upon clicking the link, you’ll be redirected to a form or landing page that embeds the form/smart feedback. 

Notes

  • If you enable or embed the smart feedback in the form used for instant customer rating, the form name will have the label ‘Smart Feedback 1’. 
  • If you integrate bulk-form QR codes into a solution, you’ll see the double colon (::) used in the QR name.

Under the “Type” column, each form is categorized based on the types of QRCodeChimp solutions. At QRCodeChimp, many component-based QR code solutions are available, including the form QR code to collect customer information and insight.

This section shows how many submissions each form has received. For example:

“0” indicates no submissions yet, while any number above zero suggests form submissions.

This feature helps users track submissions/leads and prioritize follow-ups.

This is where you can take action. You can view responses/ratings or export responses. We’ll elaborate on ‘Action’ in detail in the following section.

Managing Form Responses: View, Export, and Archive  

On the far right, the Action column provides interactive tools for form management: ‘View Responses’ and ‘Export Responses’. You will also see ‘View Ratings’ for solutions that embed Smart Feedback or feedback QR codes. 

Here are the details of taking action for effective form response management. First, choose the form you want to take action. 

1️⃣ View Responses

  • Choose the file and click to open ‘View Responses.’ Depending on the form content included during form setup, you’ll see the details accordingly.. 
  • Mark ‘archived’ those customers you have already contacted. To do so, click the three dots and click ‘archive.’ You’ll see a pop-up asking for ‘proceed’ or ‘cancel’. Click ‘Proceed’ and ‘Ok’ to update successfully. 
  • If you want to see the archived form responses, click ‘Show Archived.’ If you want to unarchive the form, click the three dots and unarchive. 

2️⃣ Export Responses

You can export form responses individually and collectively.

  • Click the ‘Export Responses’ button, which is displayed separately at the top right corner of the form response dashboard. 
  • Select the timeframe (maximum 92 days) and name the file. Then, click Export Responses. A redirection pop-up will appear asking for ‘Go to Downloads’ or ‘Cancel.’ Click ‘Go to Downloads’ to download the responses.
  • You’ll see the Downloads page, which will be downloaded in a ZIP file. 
  • Find the target file and click ‘Download’
  • Go to the file manager to find the file you downloaded.

Export the form individually

  • Select the file you want to export and click Export Responses associated with the file. 
  • Select the timeframe (maximum 92 days) and name the file. Then, click Export Responses. A redirection pop-up will appear asking for ‘Go to Downloads’ or ‘Cancel.’ Click ‘Go to Downloads’ to download the responses.
  • You’ll see the Downloads page, which will be downloaded in an XLSX file. 
  • Find the target file and click ‘Download’
  • Go to the file manager to find the file you downloaded.

3️⃣ Analyze Smart Feedback Ratings

Analyze Smart Feedback Ratings

You can view the rating submission of your form that embeds the smart feedback option. This is how to view the form:

  • Click View Ratings, and you’ll see the layout. 
  • The number at the top is the average rating, based on responses and their ratings. 
  • The rating column is listed from 1 to 5 (or 1 to 10). You’ll see the response count as per the number of submissions.

Note: View rating responses are the total count of rating responses, including those not required to submit the forms after ratings. In most cases, higher ratings don’t require submitting forms after ratings.
